What is a computer, if not a giant filing cabinet?
Think of all the documents stored in a single computer’s
memory. Now, try translating that into paper. Sometimes,
a paper copy is necessary for a certain type of
document. But that doesn’t mean it can’t be included in
all the files stored and organized by document
management software.
This type of software is a single system for managing
all forms of documents, both paper and electronic. It
handles paper-based external and interoffice documents
using a scanner. These items are scanned, and then saved
as a computer file images. The location of the original
is then linked to this electronic file. Electronic
documents are captured directly from the system. Both
types are then indexed and classified so that a quick
search can bring up the desired document with very
little effort.
It’s amazing to think how much time, space and energy
software like this can save the user. A particular
document does not usually become unnecessary once its
original purpose has been served. It will often be
required several times. Court documents are on such
example. And should a company be required to prove
something or defend its actions, the appropriate
documents are easy to find. Document management software
simplifies filing. Who can argue with that? |
